Status (Searching Orders)

OneSource IT lets you track the status of orders from initial requisition through invoicing. Status pages share features, such as the ability to view orders by time period, or to view only the orders you have placed, which makes it easy for you to find the orders you're looking for. You can also use the Search Box to search for orders by PO or requisition number.

Selecting the Status link in the Manage box (or the Status quick-access button in the Home page) displays the Order Status page.  The integrated Order Status page lets you search for orders by requisition number, purchase order number, order date, or status. With the Date field, you can easily list orders you have submitted in the last week, in the current month, in the last month, or within the specified date range. After you search for an order, you can then add the selected order to your active cart as needed.

One Source IT assigns the following statuses to an order.

Requested:  The status assigned to a newly created order awaiting approval.

Submitted to ePlus:  The status automatically assigned to an order received by ePlus and awaiting processing, i.e., refers to orders that have been submitted to One Source IT but are still awaiting processing by the One Source IT team. An order attains this status only if the system determines that all approvals are complete.

Ordered:
 The status automatically assigned to an order in the process of being fulfilled by the One Source IT team. After submitted orders have been sourced by the One Source IT team, they move to the Ordered queue. As individual items in the order ship, the shipping information (e.g., FedEx tracking numbers) for each item is added to the Ordered queue. The order remains in the Ordered queue until all line items have shipped, at which time it moves to the Shipped queue.

Shipped:  The status automatically assigned to an order when all items in the order have been shipped. At that point, the order moves from Ordered queue to the Shipped queue.

 

To search for and view orders:

1.     Click the Status link in the Manage box. The Order Status page displays.

2.     Enter your search criteria as needed, and then click Search. OneSource IT displays the list of all your orders matching your selection criteria.

Note: Users with the View Entity Orders privilege can see pending orders for the entire entity.

3.     Click on an order in the list to view the details for that order.

Requested order details include product, quantity and price information, as well as the following details:

·         Requisition No.

·         Date

·         Status

·         Bill To

·         Ship To 

·         Ship Contact

·         Ship Method

·         PO No.

Line Items

·         Mfr Part

·         Brand

·         Description

·         Qty

·         Price

·         Ext.

Requisition History

·         User

·         Action

·         Next User

·         Date

 

Submitted order details include:

·         Requisition No.

·         Date

·         Status

o    Order Received - the order has entered the OneSource IT processing queue.

o    Order Processing - order is correct and has passed credit checks.

o    Order Accepted - order has been placed with supplier.

o    Order is Back Ordered - the order is accepted but the product is not in stock and must be ordered from manufacturer.

o    Order Rejected - the order has been rejected.

o    Order Shipped - the order has been shipped, either drop-shipped from the supplier or shipped from an ePlus facility.

4.     To track the progress of a shipped order, click on the FedEx tracking number(s) in the Ship Info section of the Order Detail page for the order.
